Lexington break-even: how many users before one IT hire costs less
| Managed IT price | Cost per user per year | Users to equal one loaded sysadmin |
|---|---|---|
| $100 per user a month 1 | $1,200 | About 110 |
| $175 per user a month (midpoint) | $2,100 | About 63 |
| $250 per user a month 2 | $3,000 | About 44 |
Loaded sysadmin cost: $92,390 Lexington median 3 / 0.70 for benefits 6 = about $132,000 a year (our calculation).

The in-house figure is the median salary for network and computer systems administrators (BLS OEWS May 2025 via O*NET OnLine, Lexington-Fayette, KY: $92,390) divided by 0.70, because benefits are 30% of total compensation (BLS Employer Costs for Employee Compensation, June 2026). This is our calculation. Licenses, hardware and projects are extra either way, and one person cannot cover every hour.

- Co-managed IT
- Co-managed IT is a shared support model in which a company's own IT staff stay in charge day to day and an outside provider adds what they cannot cover alone, such as monitoring, security operations, projects or nights and weekends.
Managed IT services in Lexington: price and the break-even point
Multiply the per-seat rate 12 out for a 25-person Lexington office and the yearly budget is $30,000 to $75,000. Without any contract, support bills at $75 to $250 per hour 1.
The more useful number for a growing firm is the break-even point. Network and computer systems administrators in Lexington-Fayette earned a $92,390 median in May 2025 3, and private-industry benefits run about 30% of total compensation 6. That puts one loaded hire near $132,000 a year by our calculation. At $250 per user, managed IT costs the same at about 44 users; at $100 per user, not until about 110.
For help desk staff, O*NET publishes no Lexington figure, so the closest benchmark is the Kentucky statewide median of $57,850 for computer user support specialists 7. Quote drivers are explained in our managed IT pricing article.
Lexington's university hospital, plants and their IT needs
The University of Kentucky, including Albert B. Chandler Hospital, employs 25,550 people and is the metro's largest employer; HUD describes Lexington as a healthcare hub partly because of that research hospital 4. Manufacturing is the other pillar. Toyota Motor Manufacturing Kentucky, in neighboring Scott County, is the company's largest US facility with 9,700 workers, and printer maker Lexmark International employs about 1,300 at its headquarters in the metro 4.
Preliminary August 2026 counts show 60,900 government jobs, 41,800 in education and health services and 31,100 in manufacturing 8. Fayette County counted 9,295 business establishments in 2023, with 2,452 employing 10 to 49 people and 543 employing 50 to 249 9.
That mix produces two common buyers. The first is a medical practice, lab or research vendor that touches patient data and must meet HIPAA. The second is a parts supplier or machine shop where a down network can stop shipments to a customer's assembly line. Plant networks and backups get fuller treatment in IT for manufacturers.

Get my Lexington quoteWhen a Lexington IT provider becomes a HIPAA business associate
Any Lexington IT provider with access to patient records is a HIPAA business associate and should sign an agreement saying so. HIPAA's breach rule gives covered entities no more than 60 calendar days after discovery to notify affected patients, and business associates the same outer limit to tell the covered entity 10.
Changes to the Security Rule are still only proposed. The January 2025 draft would require MFA, encryption, an asset inventory and network map, and the ability to restore systems within 72 hours 11; HHS says the current rule still applies while the update is pending 12. Several of those controls, including MFA and tested backups, already appear on the list of controls insurers expect 13. Our HIPAA compliance services guide explains what to buy.
Kentucky breach and privacy law in Lexington
Kentucky sets no day count. Its statute asks that affected residents hear in the most expedient time possible and without unreasonable delay 14. A breach counts only when it causes, or is reasonably believed to cause, identity theft or fraud, and businesses already subject to GLBA or HIPAA are exempt 14. No Attorney General filing exists; a mailing that reaches more than 1,000 persons at one time does bring in the credit bureaus 14. Our Kentucky breach notification page has more.
Since January 1, 2026 the Kentucky Consumer Data Protection Act has covered companies that handle data on 100,000 or more Kentucky consumers yearly, or 25,000 when over half their revenue comes from selling data 15. Most Lexington firms with under 250 employees sit below those lines. Kentucky reported 9,414 IC3 complaints and $119.7 million in losses for 2025 16.
Cybersecurity, backups and co-managed IT in Lexington
For Lexington manufacturers, backups decide how bad a ransomware attack gets. Average recovery cost $2.51 million in Sophos's 2026 survey of US organizations with 100 to 5,000 staff, and backups were how 60% of them got encrypted data back 17. Managed backup with quarterly recovery testing is published at $500 to $1,200 a month for 20 to 50 people 18. Restore testing is covered on our backup and disaster recovery page.
Firms nearing the break-even point often choose co-managed IT: keep one internal person who knows the plant or practice, and contract the monitoring, security tools and after-hours cover. Meriplex's 2026 estimate for that model is $45 to $175 per seat monthly 19, and our co-managed IT explainer shows the usual division of work.
Picking a Lexington managed service provider on proof
Choose a Lexington provider on documents, not promises: a restore test report, a business associate agreement it is ready to sign and written on-site response terms for your building or plant. Fayette County's 142 businesses coded as computer systems design and related services 5 include developers and consultants, so those documents also help narrow the list. Plants should also ask who supports production PCs running older software and whether those machines sit on their own network segment. Practices should ask how the provider logs and reviews its own access to patient records.
Contract points to check are in selecting a managed service provider. For a second office in Kentucky or across the Ohio River, see Louisville and Cincinnati; Indianapolis and our managed IT services hub cover the rest.
Common questions
What will IT support in Lexington cost a small firm?
Which jobs does a managed service provider in Lexington cover?
Day-to-day IT for a monthly fee: the help desk, Microsoft 365 administration, patching, monitoring, backups and baseline security. In a co-managed setup it covers only what your own staff cannot.
At what size should a Lexington company hire its own IT person?
Do IT services for a Lexington medical office require a business associate agreement?
Yes, if the provider can access patient data on your systems. HIPAA treats it as a business associate, and it must report breaches to you within 60 days of discovery 10. Confirm the details with counsel or a compliance advisor.
Does Kentucky's privacy law apply to small Lexington businesses?
Is a managed service provider in Lexington worth it for a factory?
Often, if downtime is costly. Look for a provider that separates plant and office networks, tests restores of production systems, and commits to on-site response at your plant, not just your office.
