Plan prices are one provider's published 2026 tiers (Strategic Micro Systems, Managed IT Services Cost Per User: A 2026 Pricing Guide). The in-house figure is the median salary for network and computer systems administrators (BLS OEWS May 2025 via O*NET OnLine, New York-Newark-Jersey City, NY-NJ: $119,390) divided by 0.70, because benefits are 30% of total compensation (BLS Employer Costs for Employee Compensation, June 2026). New York breach notice rule: notify affected residents within 30 days. The Attorney General, the Department of State and the State Police (plus the Department of Financial Services for DFS-regulated businesses) must also be notified of any breach. Managed IT services
Managed IT services are ongoing IT support, monitoring, security and planning delivered by an outside provider for a fixed monthly fee, usually priced per user or per device.

What managed IT services cost in NYC

Published pricing guides put managed IT at $100 to $250 per user per month, and fully managed plans with security included can reach $300 or more 18. Use that range to sanity-check New York quotes, and ask every bidder for a per-user figure so you compare like with like.

The in-house comparison is where New York stands apart. The median salary for a network and computer systems administrator in the New York metro was $119,390 in May 2025, about $20,000 above the national median of $99,130 24. Benefits make up 30% of private employer compensation costs 3, so that one hire runs about $170,600 a year by our calculation, before recruiting, tools and turnover. The help desk role, a computer user support specialist, has a local median of $75,690 2.

For a 25-person office, $30,000 to $75,000 a year in managed IT buys a team: help desk, monitoring, patching, backup oversight and someone who plans upgrades. One in-house administrator gives you a single person who also needs vacation and sick-day coverage. Our managed IT pricing guide explains what pushes a quote up or down.

IT support for New York finance, health care and professional firms

New York County (Manhattan) alone had 93,904 business establishments in 2023, including 18,464 with 10 to 49 employees and 5,246 with 50 to 249 5. These Census counts cover Manhattan only, not all five boroughs, so the citywide number of offices in the typical managed IT size range is larger. The same data shows 1,943 computer systems design and related services establishments in Manhattan 5, the Census category that includes IT service firms. Choice is not the problem here; narrowing it is.

Demand comes mostly from regulated sectors. In the New York metropolitan division, education and health services employed about 1,584,200 people in August 2026, professional and business services 1,020,100 and financial activities 640,500 (preliminary figures) 6. Each brings its own IT obligations:

  • Financial firms. Banks, insurers and other DFS licensees fall under 23 NYCRR Part 500, covered below. Mortgage brokers and tax preparers also fall under the FTC Safeguards Rule, which requires MFA and encryption of customer information 17. Our page on IT for financial services firms covers both.
  • Health care. The city's largest private employers include Montefiore Health System and Mount Sinai Health System, per a 2020 HUD profile 7. The practices, labs and billing companies around them handle patient data under HIPAA, so HIPAA compliance services are a common add-on.
  • Law, accounting and consulting firms. Client confidentiality and the SHIELD Act safeguards duty apply even when no industry regulator is watching.

New York data rules: SHIELD Act, breach notice and NYDFS Part 500

Three New York rules shape what a provider should set up for you.

  • Breach notification. General Business Law 899-aa requires notice to affected New York residents without unreasonable delay and no later than 30 days after discovery, a cap added by a December 2024 amendment. You must also notify the Attorney General, the Department of State and the State Police (plus DFS if you are DFS-covered), and consumer reporting agencies if more than 5,000 New Yorkers are notified at once 8.
  • SHIELD Act. Section 899-bb requires any business holding computerized private information of New York residents to maintain reasonable safeguards, including secure disposal. Small businesses may scale safeguards to their size, but they are not exempt 9. The law counts a business as small if it has fewer than 50 employees, under $3 million in gross annual revenue in each of the last three fiscal years, or under $5 million in year-end assets 9.
  • NYDFS Part 500. Since November 1, 2025, DFS-regulated entities must use MFA for every individual accessing any information system (unless the CISO approves a compensating control) and keep a documented asset inventory. They must report cybersecurity incidents to DFS within 72 hours and certify compliance by April 15 each year 10. A limited exemption removes some sections but still requires MFA for remote and privileged access 10. It covers entities with fewer than 20 employees and contractors, under $7.5 million in revenue in each of the last three years, or under $15 million in assets 10.

New York has no comprehensive consumer privacy law as of October 2026 12. Many firms document their SHIELD Act safeguards in a written information security plan. Ask counsel to confirm which of these rules reach your firm.

Cybersecurity services in New York City

Cybersecurity deserves its own line in a New York IT budget because reported losses here are among the highest in the country. New Yorkers filed 45,255 complaints with the FBI's Internet Crime Complaint Center in 2025 and reported $1.23 billion in losses, fourth among states on both measures 11. Finance teams that approve wires are a common target of business email compromise, which accounted for about $3.05 billion in reported losses nationwide 11.

A reasonable baseline for a New York office is MFA on every account, endpoint detection and response with someone watching alerts, email filtering, tested backups and phishing training. Many managed IT plans include most of this; others sell it as a separate security tier, so compare scopes line by line.

If a client questionnaire or DFS asks who leads security, a part-time vCISO is the usual answer for smaller firms. Published vCISO retainers run about $1,500 to $4,000 a month for organizations under 50 employees 14, against a $129,180 national median salary for an information security analyst 13. Our cybersecurity guide for small businesses puts the controls in priority order.

IT consulting and co-managed IT in New York

Firms that already employ IT staff often get better value from co-managed IT than from full outsourcing. One provider's published estimate puts co-managed IT at $45 to $175 per user per month, depending on scope 15. With a local administrator costing about $170,600 loaded, a common New York setup keeps one internal person for users and vendors and hands monitoring, patching, after-hours coverage and security tooling to a provider. Our co-managed IT guide shows how duties are usually split.

Project work is priced separately. A 2026 migration cost guide lists external IT consultants at $150 to $250 per hour 16. Typical New York projects include office moves, Microsoft 365 cleanups, DFS gap assessments and writing an incident response plan. See IT consulting for when hourly, fixed-fee or retainer pricing fits.

Choosing a managed service provider in NYC

The right NYC provider can show how it will meet your rules and staff your site, which matters more than the length of its service list. Ask each candidate:

  • Who comes on site, how fast, and is travel billed separately?
  • Have you supported DFS-covered entities or HIPAA practices, and will you help gather evidence for the annual DFS certification?
  • What is inside the per-user price, and what is billed hourly?
  • Who holds admin credentials, documentation and the Microsoft 365 tenant if we leave?

Many New York firms have staff or a second office across the river or out east, so coverage in New Jersey, on Long Island or in Philadelphia can decide the choice. Our guide to choosing an MSP has the full question list, and the managed IT services overview explains what a standard agreement covers. Send a short request through the form and a local provider or advisory partner will reply within one business day.

Common questions

How much do managed IT services cost in NYC?

Published pricing guides put managed IT at $100 to $250 per user per month, with fully managed security bundles reaching $300 or more 18. For a 25-person office that is roughly $30,000 to $75,000 a year. Quotes vary with on-site needs, compliance work and how much security is included.

Is it cheaper to hire an IT person or use an MSP in New York?

For most offices under about 50 people, managed IT costs less than one hire. The New York metro median salary for a systems administrator was $119,390 in May 2025 2, or about $170,600 including benefits by our calculation from BLS data 3. That buys one person, while a managed IT contract covers a team and after-hours monitoring.

Does the NY SHIELD Act apply to small businesses?

Yes. The SHIELD Act applies to any business holding computerized private information of New York residents, but small businesses may scale their safeguards to their size 9. The law defines small as fewer than 50 employees, under $3 million in gross annual revenue in each of the last three fiscal years, or under $5 million in year-end assets.

Do I need to follow NYDFS Part 500?

Only if you are regulated by the New York Department of Financial Services, such as a bank, insurer, insurance agency or other DFS licensee. Covered entities must use MFA for all users, report incidents within 72 hours and certify compliance by April 15 each year 10. Smaller entities may qualify for a limited exemption, but it does not remove every requirement.

How fast must a New York business report a data breach?

No later than 30 days after discovering it, and sooner if possible. Notices go to affected residents, and the Attorney General, Department of State and State Police must also be notified 8. DFS-covered entities have a separate 72-hour incident notice to DFS 10.

What do cybersecurity services in New York City include?

Most packages combine MFA, endpoint detection and response, email filtering, backup testing and staff training, with optional vCISO advice. Published vCISO retainers run about $1,500 to $4,000 a month for organizations under 50 employees 14. For firms that move money, business email compromise is the main threat to watch.
