Get a quote for my business- IT project management
- IT project management is the planning, coordination and control of a defined technology project, such as an office move, an email migration or a network refresh, so that it finishes on an agreed scope, date and budget with one person accountable for vendors, risks and communication.
What IT project management services include
IT project management services cover the coordination work around a project, not the technical work itself. The engineer configures the firewall; the project manager makes sure the firewall, the internet circuit, the cabling crew and the staff announcement all land on the right day.
A typical engagement includes:
- Scope document: what is in, what is out, and what done looks like.
- Schedule: tasks, owners and dates, with the dependencies that can slip the whole plan (an internet install, a hardware shipment, a software vendor's availability).
- Vendor coordination: one point of contact for the carrier, cabling contractor, software vendors and your IT provider.
- Budget tracking and change control: every change to scope gets a written price and approval before work starts.
- Risk and issue log: known risks, who owns each and the fallback.
- Cutover and rollback plan: the hour-by-hour plan for go-live and how to undo it if something fails.
- User communication: what staff need to do and when.
- Closeout: as-built documentation, passwords handed over, open items listed.
This overlaps with IT consulting, which is advice on what to do. Project management is making a decided plan happen.
IT project management rates and project pricing
IT project management is billed hourly, as a share of a fixed project fee, or inside a retainer, and published provider rates mostly sit between $100 and $275 an hour. No neutral survey of IT project management prices exists, so these are individual providers' published figures:
- Project management and general consulting: about $100 to $200 an hour, with senior consultants at $200 to $350 or more 1.
- Project engineer: $135 to $195 an hour, and senior engineers for server, cloud or security work at $195 to $275 8.
- Project engineering outside a managed IT plan: $150 to $250 an hour 2.
- Project work outside a co-managed monthly rate: $150 to $275 an hour 3.
- General IT consulting: $150 to $300 an hour in the United States 7.
For whole projects, one 2026 guide puts fixed-scope IT projects at $5,000 to $75,000 and a one-time assessment at $1,500 to $5,000 7. Project management is often folded into that fixed fee. A project software vendor writing for MSPs says general project management guidance places PM cost at around 7% to 11% of total installed cost, or 9% to 15% with project controls support 9. On small projects the share can run higher, because planning and coordination do not shrink as fast as the technical hours.
For how these compare with other IT prices, see the managed IT price index.

Get a quote for my businessHiring an IT project manager vs buying per project
Most businesses with 5 to 250 staff buy IT project management per project, because a full-time hire only pays off with a steady pipeline of projects.
The Bureau of Labor Statistics puts the median annual wage for project management specialists at $102,320 and for computer and information systems managers at $175,140, both in May 2025 45. Benefits make up 30.0% of private employer compensation costs 6. Applying that share, we estimate a project management specialist costs about $146,200 a year including benefits, and an IT manager about $250,200, based on BLS data 456. Recruiting, tools and turnover come on top.
Compare that with the project itself. As an illustration, a project needing 60 hours at $150 an hour comes to $9,000, bought once. A company running two or three projects a year rarely keeps a full-time project manager busy.
Certifications are a plus, not a requirement. BLS notes that certification is not always required but may be beneficial 4. The best-known credential, PMI's PMP, requires three years of project management experience for a bachelor's degree holder (five years with a high school diploma) plus 35 hours of training 10. For a small IT project, experience with your type of project (a Microsoft 365 move, a phone cutover) matters more than the letters.
When a small business needs an IT project manager
A small business needs a dedicated IT project manager when a project involves several vendors, a fixed deadline, or downtime the business cannot absorb. Common examples:
- Office moves and build-outs, where cabling, internet, phones, furniture and IT all depend on each other. See structured cabling services.
- Email and file migrations, where a cutover weekend has to be planned to the hour. See email migration services.
- Server retirements and moves to Azure or AWS, covered on our cloud migration services page.
- New line-of-business software, such as a practice management, ERP or accounting system with data conversion and staff training.
- Mergers, where two Microsoft 365 tenants, networks and phone systems become one.
- Compliance projects with outside deadlines, such as insurer-required MFA or CMMC preparation.
Microsoft's FastTrack deployment and migration help is only available to tenants with at least 150 licenses of eligible plans 11, so smaller firms supply their own project lead or get one from a partner.
You probably do not need a separate project manager for a single-vendor task with no hard date, such as replacing ten laptops. Your IT provider's normal ticket process covers that.
How MSPs price projects vs monthly support
Most managed service providers treat projects as separate work billed on top of the monthly fee. The monthly price in a managed IT pricing plan covers keeping things running: help desk, patching, monitoring, backups. New things, such as moves, migrations and rollouts, are projects.
The published rates above follow that split. One provider bills project engineering outside managed IT at $150 to $250 an hour 2, and another bills project work outside its co-managed IT monthly rate at $150 to $275 an hour 3.
MSPs usually price projects in one of three ways:
- Time and materials: hourly, with an estimate. Flexible, but the risk of overruns is yours.
- Fixed fee: a statement of work with a set price and defined deliverables. Overruns are the provider's risk unless you change the scope.
- Block hours or retainer: prepaid hours drawn down over a year. One guide puts consulting retainers at $2,000 to $10,000 a month for companies under 250 users 7.
Ask three things before you sign: whether project management time is a separate line item, what rate applies to change orders, and where the provider draws the line between a support ticket and a project. Ongoing planning across projects is the job of a virtual CIO.
What a good IT project scope contains
A good scope lets two providers quote the same project and lets you tell later whether it was delivered. Before asking for prices, write down:
- The goal in one sentence, with the business reason and the hard date.
- In scope and out of scope, item by item: users, sites, devices, mailboxes, applications.
- Deliverables you can check, such as configured devices, migrated data or test reports.
- Acceptance criteria: how you will confirm each deliverable works.
- Who does what: your staff, the provider, and every outside vendor.
- Cutover and rollback plan, including the downtime window you can accept.
- Change process and the rate for changes.
- Post-go-live support: how many days of on-site or priority support follow the cutover.
- Documentation handoff: diagrams, credentials, licenses and vendor contacts.
If you are choosing a long-term provider at the same time, our guide to choosing an MSP covers what to ask about contracts and service levels.
Common questions
How much do IT project management services cost?
What does an IT project manager do?
An IT project manager owns the scope, schedule, budget and vendor coordination for a technology project, and keeps staff informed. Engineers usually configure the systems. The project manager is the one accountable person who makes sure every dependency lands on time.
How much does an IT project manager make?
BLS puts the median annual wage for project management specialists at $102,320 and for computer and information systems managers at $175,140, both in May 2025 45. With benefits at 30.0% of private employer compensation costs 6, we estimate total cost including benefits at about $146,200 and $250,200 a year respectively, based on BLS data.
Does a managed IT contract include project work?
Should I pay hourly or a fixed fee for an IT project?
A fixed fee with a written statement of work suits projects you can define in advance, such as a migration with a known mailbox count, because overruns become the provider's risk. Hourly billing suits open-ended work. One guide puts fixed-scope IT projects at $5,000 to $75,000 7.
Do I need a PMP-certified IT project manager?
Not for most small business projects. BLS says project management certification is not always required but may be beneficial 4. The PMP itself requires three years of project experience for a bachelor's degree holder plus 35 hours of training 10, but experience with your exact type of project matters more.
