Microsoft 365 managed services
Microsoft 365 managed services are the ongoing work an IT provider does to run a company's Microsoft 365 tenant: managing licenses and users, configuring security and compliance settings, managing devices through Intune, backing up data and supporting staff who use Outlook, Teams, SharePoint and OneDrive.

Microsoft 365 support for business: what you get and what you manage

Microsoft runs the servers behind Microsoft 365, but your business is responsible for how it is set up: who has access, which security settings are on, how devices are managed and whether your data is backed up. Microsoft 365 support and managed services cover that customer side.

Microsoft 365 is now the center of IT for many small and midsize businesses. Email, files, Teams, user accounts and often device management all live in one tenant. That also makes it the main target. Business email compromise caused about $3.05 billion in losses reported to the FBI in 2025 8, and Sophos found 79% of ransomware attacks in its 2026 study began with compromised identities 9.

Most businesses get Microsoft 365 support in one of three ways:

  • As part of managed IT. The provider manages the tenant along with your devices, network and help desk. This is the most common setup. See managed IT services for how those plans work.
  • As a standalone service. Some providers manage only Microsoft 365, which suits cloud-only companies with no office network.
  • Through consulting projects. A one-time security review, migration or Intune rollout, with your own staff running things afterward. See IT consulting.

Microsoft 365 business plans and current prices

Microsoft 365 Business Basic costs $7, Business Standard $14 and Business Premium $22 per user per month with an annual commitment, at US list prices with Teams 561. Monthly-commitment prices are $8.40, $16.80 and $26.40.

Microsoft raised Basic from $6 to $7 and Standard from $12.50 to $14 on July 1, 2026, and left Premium at $22 210. If you renewed after that date, expect your invoice to reflect the new prices.

How the plans differ:

  • Business Basic ($7): email, Teams, and web and mobile versions of the Office apps, with OneDrive and SharePoint storage.
  • Business Standard ($14): everything in Basic plus the desktop Office apps.
  • Business Premium ($22): everything in Standard plus the security and device tools most businesses need, including Microsoft Defender for Business and Intune device management 111.

Microsoft also sells versions without Teams (Basic $5.40, Standard $10.79) and bundles with Copilot (Standard with Copilot $23.50, Premium with Copilot $32.00 per user per month, paid yearly) 561.

For most businesses that handle customer, health or financial data, Business Premium is the plan to standardize on. The $8 difference from Standard covers security tools Microsoft also sells separately: Defender for Business lists at $3.00 per user per month on its own 11, and Defender for Office 365 Plan 1 at $2.00 7.

What a Microsoft 365 managed service provider manages

A Microsoft 365 managed service provider should manage licensing, identity and security settings, devices, email protection, backup and user support. If a provider only resets passwords and adds users, you are paying for a help desk, not Microsoft 365 management.

Licensing. Right-sizing plans, removing licenses when staff leave, keeping licenses in your company's name, and planning renewals around price changes.

Identity and access. MFA for every user, with no exceptions for executives. Microsoft research found MFA reduces the risk of account compromise by 99.22% 4. Also: separate admin accounts, conditional access rules where your plan supports them, blocking legacy sign-in methods, and an offboarding process that locks accounts the same day.

Security defaults and settings. Security defaults or equivalent conditional access, audit logging turned on, external sharing limits in SharePoint and OneDrive, and alerts for suspicious sign-ins and new inbox forwarding rules.

Microsoft Defender. Deploying Defender for Business to every device and reviewing its alerts, plus Defender for Office 365 for phishing and malicious links. Our managed detection and response page explains when you need a human watching those alerts around the clock.

Intune device management. Enrolling laptops and phones, enforcing encryption and updates, and being able to wipe a lost device.

Backup. A third-party or Microsoft backup of mail, OneDrive, SharePoint and Teams, with restore tests.

User support. Outlook, Teams and file-sharing questions, usually through the provider's help desk. See business IT support for what good support looks like.

Ask any provider for a written list of the settings they will configure and how they will report on them each month.

Microsoft 365 backup

You need a separate backup of Microsoft 365, because Microsoft's built-in retention is designed for service continuity, not for restoring data deleted by a user, a departing employee or ransomware weeks later. Third-party Microsoft 365 backup costs about $2 to $5 per user per month 123.

Your options:

  • Third-party backup tools. Veeam Data Cloud for Microsoft 365 starts at $2.63 per user per month on its Capterra listing 12. One MSP's 2026 guide estimates $3 to $5 per user per month for Microsoft 365 or SaaS backup 3. These are priced per user; check how much storage and retention the price includes.
  • Microsoft 365 Backup. Microsoft's own service is billed at $0.15 per GB per month of protected data through an Azure subscription, not per user 13. It can cost more or less than a per-user tool depending on how much data each person stores.

Whatever you choose, check four things: that mail, OneDrive, SharePoint and Teams are all covered; how long backups are kept; that backups are stored separately from your tenant's admin accounts; and that someone tests a restore at least quarterly. CISA tells small businesses to regularly test both partial and full restores 14.

For servers and on-site systems, see backup and disaster recovery.

Microsoft 365 migration and consulting help

A Microsoft 365 migration for a small business is usually priced as tool licenses per mailbox plus consultant hours. One 2026 vendor guide puts migration tool licenses at $2 to $15 per mailbox and says actual tooling typically runs $10 to $35 per user once add-ons are counted 15. The same guide puts external consultant labor at $150 to $250 per hour 15. No independent survey of total small business migration costs exists, so get a fixed-fee quote.

Microsoft's own FastTrack migration help is only available to tenants with at least 150 licenses of eligible plans 16, so most small and midsize businesses rely on a partner.

Migration notes worth knowing:

  • Clean up first. Delete old mailboxes and shared drives you do not need before moving them.
  • Plan the cutover. Email routing (DNS records) changes on a set date; staff need to know what to expect that morning.
  • Move files with permissions in mind. Map old shared drives to SharePoint sites and Teams, not to one person's OneDrive.
  • Turn on security before go-live. MFA, backup and device management should be ready on day one.
  • Watch for Windows 10. Support ended October 14, 2025, and Extended Security Updates cost $61 per device in year one 17. A migration is a good time to replace those computers.

Defense contractors handling controlled unclassified information (CUI) may need Microsoft's GCC High environment instead of commercial Microsoft 365. Microsoft offers GCC High for contractors handling DoD CUI or ITAR data, and it requires an eligibility validation 18. See our GCC High page before you migrate.

Microsoft 365 consulting is also worth paying for when you need a one-time security review of an existing tenant, an Intune rollout, or a licensing review before renewal. Our cloud migration services page covers larger moves, including servers.

Common questions

How much does Microsoft 365 cost for business?

Since July 1, 2026, Microsoft 365 Business Basic costs $7, Business Standard $14 and Business Premium $22 per user per month with an annual commitment 561. Monthly commitments cost more: $8.40, $16.80 and $26.40. Prices shown are US list prices with Teams.

What are Microsoft 365 managed services?

Microsoft 365 managed services are ongoing management of your tenant by an IT provider: licensing, MFA and access rules, security settings, Defender and Intune, backup and user support. Most providers include it in a managed IT plan rather than selling it separately.

Does Microsoft back up my Microsoft 365 data?

Microsoft keeps the service running and offers limited retention and recycle bins, but that is not the same as an independent backup you control. Most businesses add a third-party backup at about $2 to $5 per user per month 123, or use Microsoft 365 Backup at $0.15 per GB per month 13.

Is Microsoft 365 Business Premium worth it?

For most businesses that handle customer, health or financial data, yes. For $8 more per user than Standard, it adds Defender for Business and Intune device management 111. Bought separately, Defender for Business alone lists at $3.00 per user per month 11.

What does a Microsoft 365 consultant do?

A Microsoft 365 consultant handles one-time projects such as migrations, security reviews of an existing tenant, Intune rollouts and licensing reviews. External consultants typically bill $150 to $250 per hour 15. Ongoing management is usually handled by a managed service provider instead.

Who handles Microsoft 365 support for a small business?

Usually the company's managed IT provider, as part of a per-user monthly plan. Cloud-only companies sometimes buy Microsoft 365 management on its own. Either way, your company should own the global admin account and the licenses.

Do defense contractors need GCC High instead of Microsoft 365?

Many contractors that handle controlled unclassified information or ITAR data use GCC High, which Microsoft offers for those workloads after an eligibility check 18. Whether you need it depends on your contracts and data, so confirm with your assessor or counsel.
