IT consulting
IT consulting is professional advice on how a business should use, secure and invest in technology, delivered through defined engagements such as assessments, audits, strategy roadmaps and project guidance, usually billed by the hour or as a fixed project fee.

What IT consulting services include

IT consulting services answer the questions your day-to-day support provider usually does not have time for: what you have, what is risky, what to fix first, and what it will cost. A consultant delivers findings and a plan; the work of running your systems usually stays with your IT staff or provider.

Common reasons businesses hire an IT consultant:

  • A fresh look. New leadership, an acquisition or a bad incident calls for an independent picture of the environment.
  • A big decision. Moving servers to the cloud, replacing a phone system, opening an office or choosing new business software.
  • An outside request. An insurer, client, auditor or contract asks for evidence of security controls.
  • Budget planning. A 3-year plan for hardware, licenses and staffing.
  • A second opinion on a provider. Checking whether your current MSP is doing what the contract says.

Some engagements are one-time; others become ongoing advice. The ongoing version is usually called a virtual CIO. Our virtual CIO page covers that model in depth. For security-only leadership, see vCISO services.

IT consultants vs managed service providers

An IT consultant advises and plans; a managed service provider (MSP) runs your systems day to day. Many firms do both, but the two services are bought differently and should be scoped separately.

IT consultant Managed service provider
Main job Assess, plan, recommend, guide projects Help desk, monitoring, patching, security, backups
Pricing Hourly or fixed project fee Monthly per user or per device
Typical length Weeks to a few months, or a retainer Ongoing contract, often one to three years
Output Reports, roadmaps, designs Working systems and monthly reports

The overlap causes the most confusion. Some MSPs include vCIO planning in their managed IT plans rather than charging for it separately 2, and many consulting firms also sell managed services.

One caution: an assessment from a firm that also wants to sell you managed services may lean toward recommending its own services. That is not always a problem, but it is worth knowing. If independence matters, for example when checking an existing provider's work, hire a consultant who will not bid on the follow-on contract. Our guide to what an MSP is explains the managed model in more detail.

IT consulting rates

External IT consultants typically bill $150 to $250 per hour, according to a 2026 vendor cost guide that notes rates vary by region 1. Another provider's 2026 guide puts hourly managed IT services at $175 to $350 4, and Syncro's 2023 survey found an average MSP hourly rate of $110 5. Seniority and specialty move the rate as much as region does.

Typical published rates by type of work:

  • General IT consulting (external consultant): $150 to $250 per hour 1.
  • vCIO advice: $200 to $300 per hour, or $2,000 to $10,000 per month on retainer 2. A 2026 summary puts the monthly range as wide as $2,000 to $15,000 and notes no independent pricing dataset exists 6.
  • vCISO (security leadership): $1,500 to $4,000 per month for firms under 50 employees in one provider's figures, with hourly advisory at $200 to $400 7.
  • Penetration testing: small external network tests start around $5,000 3, with a range of $5,000 to $20,000 in another firm's 2026 guide 8. See penetration testing for scope and pricing.

Freelance marketplaces list much lower rates. Upwork's 2026 rate guide shows IT consultants at $12 to $30 per hour 9, but those are global freelance rates, not US firm rates. A freelancer can be fine for a defined task; for an audit someone else will rely on, you want a firm with documented methods and accountability.

IT audits and IT assessments

An IT assessment is a structured review of your technology that ends in a written list of findings and fixes, ranked by risk and cost. An IT audit is a more formal version that checks your controls against a specific standard and documents evidence. Most small and midsize businesses need an assessment first.

A useful IT assessment covers:

  • Inventory: every computer, server, network device, cloud service and license, with age and support status.
  • Accounts and access: who has admin rights, whether MFA is enforced, and how departing staff are removed.
  • Security controls: EDR, email filtering, patching, firewall configuration and logging.
  • Backups: what is backed up, where, and when a restore was last tested.
  • Network assessment: internet circuits, firewall, Wi-Fi, switches and cabling, with capacity and single points of failure.
  • Vendors and contracts: renewal dates, costs and overlapping tools.
  • Compliance gaps against the rules that apply to you, such as HIPAA or NIST SP 800-171.

A good assessment uses a recognized framework so findings are not just opinion. NIST's Cybersecurity Framework 2.0, released in February 2024, organizes security into six functions: Govern, Identify, Protect, Detect, Respond and Recover 10, and NIST published a quick-start guide for small businesses. CISA's Cybersecurity Performance Goals are a shorter baseline aimed partly at small and medium-sized organizations 11.

No neutral source publishes typical IT audit or network assessment costs. Most firms quote a fixed fee based on headcount, sites and scope, or bill hours at the consulting rates above. For a security-focused review, see our cybersecurity risk assessment page.

How to scope an IT consulting engagement

Scope an IT consulting engagement by writing down the decision you need to make, the systems in scope and the deliverables you expect, then asking for a fixed fee against that scope. Clear scope is what keeps a consulting bill predictable.

  1. State the question. For example: "Should we replace our server or move to the cloud, and what will each cost over three years?"
  2. List what is in scope. Number of users, sites, servers, key applications and any compliance rules.
  3. Name the deliverables. A findings report, a ranked fix list, a roadmap, a budget, a network diagram.
  4. Set the timeline and who on your side will provide access and answer questions.
  5. Ask for a fixed fee, or a not-to-exceed cap on hours.
  6. Ask what is excluded, such as fixing the problems found, which is usually a separate project.
  7. Agree on who owns the output. You should keep the reports, diagrams and inventories.

Deliverables to expect from a solid engagement: an executive summary in plain English, a detailed findings list with risk ratings, a ranked action plan with rough costs, an asset inventory, a network diagram, and a short readout meeting. A roadmap engagement adds a one- to three-year timeline and budget.

If the findings lead to ongoing work, you can send a request through our form to hear from a local provider. Our guide to choosing an MSP helps you compare them.

Common questions

How much does an IT consultant charge per hour?

External IT consultants typically bill $150 to $250 per hour, according to a 2026 vendor guide 1. Senior and specialist work, such as vCIO advice, runs $200 to $300 per hour 2. Freelance marketplace rates are lower but are global and not comparable to US firm rates.

What does an IT audit include?

An IT audit checks your controls against a standard and documents evidence, covering access and MFA, patching, backups, network security, logging and policies. It ends with a findings report and a list of fixes. A less formal IT assessment covers the same ground and is the usual starting point for smaller firms.

How much does an IT assessment cost?

No neutral source publishes typical IT assessment prices, so expect a fixed fee based on your headcount, sites and scope, or hours at consulting rates of about $150 to $250 per hour 1. Ask for a fixed fee or a not-to-exceed cap before work starts.

What is the difference between IT consulting and managed IT services?

IT consulting provides advice, assessments and plans, usually billed hourly or by project. Managed IT services run your systems day to day for a monthly fee. Some MSPs include planning through a vCIO in their managed IT plans 2.

What is an IT roadmap?

An IT roadmap is a one- to three-year plan that lists the technology changes your business should make, in order, with rough costs and timing. It usually follows an assessment and covers hardware replacement, security improvements, software changes and staffing. It is the main deliverable of IT strategy consulting.

What is a network assessment?

A network assessment reviews your internet connections, firewall, Wi-Fi, switches and cabling for performance, security and single points of failure. The output is a diagram, a list of problems and recommended fixes. It is often part of a wider IT assessment.

Does a small business need IT consulting?

A small business usually needs consulting at decision points: an office move, a cloud migration, a compliance requirement or a concern about its current provider. Outside those moments, the planning built into a managed IT plan or a periodic vCIO review is often enough.
