Outsourced IT Services and Support

Outsourced IT services cost $100 to $250 per user per month in published provider guides 12, while one in-house systems administrator costs about $141,600 a year including benefits, based on BLS data 34. For most companies under about 50 staff, outsourcing is cheaper and covers more skills than a single hire.

Outsourced IT services
Outsourced IT services are IT functions, such as help desk support, device and network management, security monitoring, backups and technology planning, that a business pays an outside provider to perform instead of hiring its own IT staff.

What outsourced IT services cover

Outsourced IT services usually cover everything a small internal IT department would do, delivered by a provider's team under a monthly contract. The provider most companies hire for this is a managed service provider (MSP). Our guide to what an MSP is explains the model in more detail.

A full IT outsourcing agreement typically includes:

  • Help desk: a phone, email or portal line your staff use when something breaks. This can also be bought on its own through help desk outsourcing.
  • Device and server management: patching, monitoring and remote fixes for laptops, desktops and servers.
  • Security tools and monitoring: endpoint detection and response (EDR), email filtering and alert handling. Some providers include managed detection and response; others sell it as an add-on.
  • Backups: setup, monitoring and restore tests. See backup and disaster recovery for what that should include.
  • Planning: budgets, hardware refresh and vendor decisions, often through a virtual CIO.
  • Vendor management: dealing with your internet carrier, phone system, printer company and software vendors so your staff do not have to.

Most providers price this per user or per device. In Kaseya's 2023 benchmark survey the most common per-user band was $50 to $100 per user per month (22% of MSPs), and 28% did not offer per-user pricing at all 6. Newer 2026 guides from individual providers sit higher, at $100 to $300 per user 2. For a full breakdown by model and company size, see our managed IT services pricing page.

In-house vs outsourced IT: the real cost comparison

For a company of 10 to 50 people, outsourced IT almost always costs less than one in-house hire, and it gives you a team instead of one person. Above roughly 50 to 60 users the math gets closer, and many firms then keep one internal person and add a provider.

Start with the in-house side. The median annual wage for a network and computer systems administrator was $99,130 in May 2025 3. A computer user support specialist (help desk) earned a median of $61,860 7, and an information security analyst $129,180 8. Benefits make up 30.0% of private employer compensation costs 4, so the loaded cost of that systems administrator is about $141,600 including benefits, based on BLS data. That figure is before recruiting, training, tools and turnover.

Now the outsourced side, using the $100 to $250 per user per month range from published guides 12. This is our arithmetic, not a quote:

Staff Outsourced IT per year One in-house admin, loaded
10 $12,000 to $30,000 about $141,600
25 $30,000 to $75,000 about $141,600
50 $60,000 to $150,000 about $141,600
100 $120,000 to $300,000 about $141,600 plus tools

The salary is only part of the comparison. One person cannot cover vacations, sick days, nights and weekends. One person rarely has deep skills in networking, Microsoft 365, security monitoring and backups at the same time. And an in-house hire still needs paid tools: security software, a remote management platform and a backup service.

The outsourced side has costs too. You get less on-site presence, a provider who serves many clients at once, and onboarding fees at the start. Neither choice is right for every company, which is why the middle option exists.

Managed IT vs one in-house hire, per year

10 users $12k to $30k
25 users $30k to $75k
50 users $60k to $150k
$0k$40k$80k$120k$160k

Managed IT for the whole company, a year, at $100 to $250 per user per month1   One systems administrator, about $141,600 a year with benefits34

Our arithmetic from the cited figures. The in-house line is the May 2025 median salary of $99,130 divided by 0.70, because benefits are 30% of compensation. It still leaves out recruiting, tools, training and cover for nights and vacations, which one person cannot provide.

When to outsource IT

Outsource IT when nobody on staff owns it, when your one IT person is overloaded or leaving, or when an insurer, client or contract starts asking for security controls you cannot show.

Clear signs it is time:

  • The owner or office manager is the help desk. Fixing printers and resetting passwords is costing hours of senior time every week.
  • Your cyber insurance application asks about controls you do not have. Marsh lists MFA for remote and privileged access, EDR, tested backups, patching and email filtering among the controls insurers now treat as minimum requirements 9. See our cyber insurance requirements page for the full list.
  • A contract brings compliance rules. Defense work, health data and financial data all come with written security obligations.
  • Your IT person is the only one who knows the passwords. That is a business continuity risk on its own.
  • You are growing fast. New hires, a second office or a cloud move all need planning time a busy generalist does not have.

Full outsourcing can be the wrong first step for a company of two or three people. If you work entirely in Microsoft 365 or Google Workspace, with no server and no compliance obligations, you can often set up the basics yourself and pay hourly for help. Our small business IT guide covers where that line sits.

What to keep in-house when you outsource IT

Keep ownership, access and decisions in-house, and outsource the labor. A provider should run your systems, but your company should always be able to take them back.

Keep these under your control:

  • An emergency admin account for Microsoft 365 or Google Workspace, with credentials stored where your leadership can reach them.
  • Your domain name registrar and DNS login. Losing control of your domain means losing your email and website.
  • Licenses and subscriptions in your company's name, paid on your company card or invoiced to you, so they transfer if you change providers.
  • A named internal point of contact who approves changes, new hires, departures and spending.
  • Budget and risk decisions. The provider recommends; you decide what to buy and what risk to accept.
  • A copy of the documentation: network diagrams, asset lists, vendor contacts and backup settings, updated at least yearly.
  • Knowledge of your line-of-business software. Your staff know how the practice management system or ERP is used day to day; the provider knows how to keep it running.

If you already have an IT person, you do not have to choose between them and a provider. Co-managed IT splits the work so your staff keep the parts they know best and the provider fills the gaps.

Part-time and on-demand IT support

Part-time and on-demand IT support costs $75 to $250 per hour for break-fix work, with emergency rates of $300 or more 1. It suits very small offices with simple systems, but nobody is watching your security between visits.

Common part-time options:

  • Hourly break-fix: you call when something breaks and pay for the time. Syncro's 2023 pricing survey found an average MSP hourly rate of $110 10. One 2026 provider guide puts after-hours incident fees at $150 to $350 per hour 2.
  • Block hours: you prepay a set number of hours per month or quarter, usually at a lower hourly rate. Unused hours may or may not roll over, so ask.
  • Fractional IT leadership: a part-time strategist for budgets and roadmaps. Published vCIO rates run $200 to $300 per hour or $2,000 to $10,000 per month, and some MSPs include it in their managed IT plans 11.
  • A part-time employee: possible, but hard to find, and still a single person.

The hidden cost of on-demand IT is that patching, backup checks and security alerts are nobody's job. A missed backup failure is usually discovered on the day you need the restore. If you go hourly, put the routine checks on a written monthly list and pay for them, or move to a flat monthly plan once you pass about 10 staff. Our business IT support page compares the support models side by side.

How to compare IT outsourcing companies

Compare IT outsourcing companies on what the monthly fee includes, how security is handled, and how easy they are to leave. Price alone tells you little, because two quotes at the same per-user number can cover very different work.

Ask every provider:

  1. What exactly is included in the per-user or per-device fee, and what is billed hourly on top (projects, on-site visits, after-hours work)?
  2. Which security tools are included: EDR, email filtering, MFA enforcement, backup with restore tests?
  3. What are the coverage hours, and how is after-hours support priced?
  4. What does onboarding cost and how long does it take?
  5. What is the contract term? In one MSP survey, one-year agreements were the most commonly offered term (60% of respondents), followed by three-year terms (54%) 12.
  6. If we leave, how do we get our documentation, admin credentials and data back?

Our checklist for choosing an MSP goes deeper. When you are ready, send a short request through our form and a local provider will email you within one business day. If you want to start with providers in your area, see managed IT services near me.

Common questions

How much does outsourced IT cost for a small business?

Published provider guides put outsourced IT at $100 to $250 per user per month 12. For a 15-person office that is roughly $18,000 to $45,000 a year by our arithmetic. Plans with advanced security can reach $300 or more per user.

Is it cheaper to outsource IT or hire in-house?

Outsourcing is usually cheaper below about 50 users. One systems administrator costs about $141,600 a year including benefits, based on BLS data 34, about what 47 users cost at the top of the $100 to $250 per user range, by our arithmetic. Above that size, many companies keep one internal person and add a provider.

What is an outsourced IT department?

An outsourced IT department is a provider that performs every role an internal IT team would: help desk, device management, security, backups and planning. It is also called a virtual IT department or IT department as a service. You keep ownership of accounts and decisions; the provider does the work.

What are the pros and cons of outsourced IT?

The main advantages are lower cost than a full hire, coverage when people are out, and a wider range of skills. The drawbacks are less on-site presence, shared attention across many clients, and dependence on the provider's processes. A clear contract and your own copies of admin access and documentation reduce the risk.

What is on-demand IT support?

On-demand IT support means paying by the hour only when you need help, also called break-fix. Rates run $75 to $250 per hour, with emergency work at $300 or more 1. It works for very small, simple offices but leaves routine security and backup checks unowned.

Should I outsource IT if I already have an IT person?

Often yes, through co-managed IT rather than full outsourcing. Your IT person keeps the work they know best, and the provider adds help desk overflow, security monitoring or project capacity. One provider's published estimate puts co-managed IT at $45 to $175 per user per month depending on scope 5.

When should a business outsource IT?

Outsource when no one owns IT, when your only IT person is overloaded or leaving, or when an insurer or contract asks for controls you cannot show. Insurers now treat MFA, EDR, tested backups and patching as minimum requirements 9. Fast growth or a move to the cloud is another common trigger.
