Monthly cost of a business computer, by route
US dollars per device or user per month
DaaS figures come from one vendor's published guide; Dell and HP quote per deal. The laptop row is our arithmetic from Dell's list price, hardware only.

Get a quote for my business- Hardware as a service
- Hardware as a service is a subscription in which a provider supplies business computers and related equipment, plus deployment, support, refresh and secure disposal, for a fixed monthly fee per device or user over a set term, instead of the business buying the equipment outright.
What hardware as a service includes
Hardware as a service includes the device itself plus the work around it: configuration, delivery, support during the term, replacement when something fails and retirement at the end. That is the main difference from a plain lease, which finances the equipment and little else.
A typical HaaS or device as a service bundle covers:
- The hardware. Laptops, desktops, docks and monitors. Some programs add tablets, phones or network and server equipment.
- Deployment. Imaging or zero-touch setup, software preloads, and shipping to the office or to remote staff.
- Support during the term. Help desk, warranty repair and advance replacement of failed units.
- Management. Patching, monitoring and security agents, delivered by the hardware vendor or by your MSP.
- Refresh and retirement. New devices at the end of the term, plus data wiping and disposal of the old ones.
Vendor programs show the spread. Dell describes APEX PC as a Service as a monthly subscription covering PCs, peripherals, software, deployment, ProSupport and secure retirement at end of life, and says customers can renew or return the equipment when the contract ends 2. HP Managed Device Services covers planning, deployment, monitoring, management and support, includes hardware and services that may require financing, and needs HP's monitoring agent on each device 3. A 2025 PC as a service bundle from Lifetime EndPoint Resources and Cellhub paired Lenovo ThinkPad T14 laptops with 5G connectivity, Microsoft 365 with Copilot and 24/7 help desk on a 36-month term 4.
Read the scope line by line. "Support" can mean a warranty phone number or a full help desk, and the price gap between those is large.
Device as a service pricing: the published numbers
Device as a service pricing is mostly quote-based. Dell's program page promises a single, predictable price per user, and neither Dell's nor HP's page publishes dollar figures 23. The published numbers that do exist:
- Basic plans: $25 to $35 per device per month, in one virtual desktop vendor's 2026 pricing guide 1.
- Full-lifecycle plans with high-end devices: $70 or more per device per month, in the same guide 1.
- Bundles with services: the Lenovo-based bundle above started at $99 a month on a 36-month term, a price that also covered Microsoft 365 with Copilot, 5G data and help desk 4.
Three things move the price most: the device spec, the term length (longer terms lower the monthly fee but keep older hardware in service longer), and how much service is bundled. A plan with a full help desk overlaps with managed IT services, which are priced separately; the most common per-device managed IT band in Kaseya's 2023 survey was $50 to $100 a month 11. Make sure you are not paying for support twice.
If an MSP resells the hardware, ask how it is priced. One MSP's 2026 guide says providers often mark up hardware purchases by 10% to 25% 12. A markup is normal. One buried inside a monthly fee is harder to compare, so ask for the hardware and service portions as separate lines. Our managed IT price index shows published support prices side by side.

Get a quote for my businessBuy vs lease vs HaaS: the math
Buying is usually cheapest per year of use if you keep devices for their full life and someone already handles setup and disposal. HaaS costs more per month but turns setup, support and refresh into one predictable line. Leasing sits between: it spreads the payment but usually leaves the work with you.
A worked example, using our own arithmetic on a published list price: Dell lists its Dell Pro 14 business laptop from $1,334 5. Spread over 36 months that is about $37 a month for the hardware alone, or about $28 a month over 48 months. Those figures leave out setup time, support, warranty upgrades, financing costs and disposal.
| Option | What you pay | What you still handle | Fits when |
|---|---|---|---|
| Buy outright | Full price up front; about $28 to $37 a month over 3 to 4 years for a $1,334 laptop 5 | Setup, support, refresh planning, disposal | You have the cash, an IT provider and steady headcount |
| Lease | A monthly payment over a fixed term | Usually setup, support, disposal and return logistics | You want to preserve cash and already have IT support |
| Hardware as a service | A monthly fee per device; $25 to $70 or more in one published guide 1 | Less: deployment, support and refresh are bundled | Headcount changes often, staff are remote, or nobody owns device lifecycle |
Tax treatment differs too. Purchased equipment can often be expensed in the first year: for tax years beginning in 2026, the section 179 limit is $2,560,000, reduced once qualifying purchases pass $4,090,000 10. Lease and subscription payments are generally deducted as they are paid. Confirm the treatment with your tax preparer before choosing on tax grounds.

Refresh cycles and the 2026 PC price increases
Most HaaS terms run three or four years, and the refresh is the point of the service: at the end of the term the old devices go back and new ones arrive. One vendor's guide puts typical refresh cycles at two to four years 1, and the Lenovo-based bundle above used 36 months 4.
Timing matters more than usual this year. A device lifecycle firm's September 2026 price tracker reported increases at three PC makers. HP raised client device prices 10% to 15% from September 15, after a 5% increase on July 1. Lenovo raised prices about 6% on average, and Microsoft Surface prices rose about 11% from August 1. The tracker tied all of them to memory and storage supply being pulled toward AI data centers 6.
Two practical effects follow. If a HaaS contract fixes the monthly fee for the term, mid-year list increases reach you only at renewal, so ask whether the rate can change during the term and how the refresh will be priced. If you buy, plan purchases in batches against a budget. Replacing machines one at a time as they fail means paying whatever the price is that week.
Windows 10 end of support and the replacement decision
Windows 10 support ended on October 14, 2025, so a business still running it now either pays for Extended Security Updates or replaces the machines 7. Commercial ESU costs $61 per device for the first year and doubles each year for up to three years 7. By our arithmetic, keeping one PC on ESU through year three costs $427 in fees ($61, $122 and $244), about a third of the Dell Pro 14 starting price 5, with an old machine at the end.
Many older PCs cannot move to Windows 11. Microsoft's minimum requirements include a compatible 64-bit processor, 4 GB of RAM, 64 GB of storage, UEFI with Secure Boot, and TPM version 2.0 8. Machines that fail those checks are the natural first batch for a HaaS program or a planned purchase; machines that pass can usually be upgraded instead.
A cloud PC is a third route for some roles. Windows 365 Business runs a Windows desktop in Microsoft's cloud for $36 to $108.80 per user per month depending on size 9. It still needs a supported, patched device to connect from, so it changes what kind of hardware you need rather than removing the need. A Microsoft 365 support provider can sort your fleet into upgrade, replace and cloud PC groups.
When HaaS makes sense, and what to check in the contract
HaaS makes sense when the work around devices, more than the purchase price, is the real problem. It tends to fit:
- Companies hiring or shrinking often, where devices must reach new staff fast.
- Remote or hybrid teams that need devices shipped and swapped without an office visit.
- Firms where nobody owns device lifecycle and laptops quietly age past support.
- Businesses that prefer a fixed operating cost to a capital purchase.
It fits less well for a stable team whose IT provider already handles setup, or for specialized machines such as CAD workstations that you would keep longer than a standard term.
Before signing, get answers in writing:
- Which services are included, and who delivers each one: the vendor, a finance partner or your MSP.
- Whether the fee can change during the term, and how the refresh is priced.
- What happens at term end: return, buyout or renewal, and who pays return shipping.
- Charges for damaged, lost or unreturned devices.
- How data is wiped at retirement, and whether you get a certificate per device.
- Whether you can add or remove devices mid-term, and at what cost.
An independent IT consulting review can set a HaaS offer against buying plus support. Before you sign with a provider that bundles hardware with service, run it through the questions for choosing an MSP.
Common questions
What is hardware as a service?
Hardware as a service (HaaS) is a subscription in which a provider supplies business computers plus setup, support, refresh and disposal for a monthly fee per device or user. Dell's APEX PC as a Service, for example, bundles PCs, deployment, ProSupport and secure retirement into one monthly charge over a defined term 2. At the end of the term you renew or return the equipment.
How much does device as a service cost per month?
One vendor's 2026 pricing guide puts basic device as a service plans at $25 to $35 per device per month and full-lifecycle plans with high-end devices at $70 or more 1. Dell and HP do not publish prices for their programs and quote each deal 23. Bundles that add Microsoft 365, connectivity and help desk cost more: one 2025 Lenovo-based bundle started at $99 a month on a 36-month term 4.
Is hardware as a service the same as leasing?
No. A lease finances the equipment, while hardware as a service bundles the equipment with deployment, support, refresh and disposal. HP's Managed Device Services, for example, combines hardware with lifecycle services and may use an endorsed finance partner for the leasing piece 3. Compare offers by listing the services each one includes.
Is it cheaper to buy laptops or use HaaS?
Buying is usually cheaper on hardware alone if you keep devices for their full life. By our calculation, Dell's $1,334 starting price for a Dell Pro 14 works out to about $28 to $37 a month over three to four years 5. HaaS adds setup, support and disposal, so compare it against the purchase price plus the support you would otherwise pay for. The most common per-device managed IT price band in Kaseya's 2023 survey was $50 to $100 a month 11.
Should we replace Windows 10 PCs or pay for Extended Security Updates?
Windows 10 support ended October 14, 2025, and commercial Extended Security Updates cost $61 per device in year one, doubling each year for up to three years 7. That is $427 per device over three years by our arithmetic, with an old machine at the end. PCs that meet Windows 11 requirements, including TPM 2.0, can usually be upgraded instead 8; the rest are candidates for replacement by purchase or HaaS.
What happens at the end of a hardware as a service contract?
At the end of the term you typically renew with new devices or return the old ones. Dell's PC as a Service page says the customer may renew the contract or return the equipment to Dell Financial Services 2. Check who pays return shipping, the charges for missing or damaged units, and how data is wiped. Ask for a data destruction certificate for every returned device.
Can a managed IT provider supply hardware as a service?
Yes. Many MSPs resell vendor device programs or build their own bundles with a leasing partner. One MSP's 2026 guide says providers often mark up hardware by 10% to 25% 12, so ask to see the hardware and service portions priced separately. If you keep in-house IT staff, a co-managed IT arrangement can cover device management while you keep the purchasing decisions.
