Get a quote for my business- Managed IT services
- Managed IT services are ongoing IT support, monitoring, security and planning that an outside company (a managed service provider, or MSP) runs for a business for a fixed monthly fee, usually priced per user or per device.
What makes a managed IT service the best for your business
The best managed IT service is the one that fits your business, not the one at the top of a list. A provider that runs dental offices well may be a poor fit for a 40-person manufacturer with plant-floor PCs, and the reverse.
That is why we do not publish a top 10 list or rate companies. Rankings tend to reward size and marketing, while the things that decide whether you will be happy in year two are fit, scope, security and exit terms. Those you can check yourself, with the scorecard above, in one meeting per provider.
Price comes last for a reason. Published provider guides put fully managed IT at about $100 to $250 per user per month 1. A quote far outside that range for the same scope needs an explanation, but a quote inside it tells you little about quality. Our managed IT pricing guide shows what each price level usually includes.
Eight criteria for judging managed IT providers
Judge every provider on the same eight criteria, in writing, so you can compare answers side by side.
- Fit. Ask how many current clients are your size and in your industry, and whether they support your core software, such as an EHR, tax or practice management system.
- Written scope. The monthly fee should come with a list of what it covers and what is billed extra: projects, after-hours work, on-site visits, new user setup and hardware.
- The provider's own security. An MSP holds admin access to everything you run. Third parties were involved in 48% of breaches in the 2026 Verizon Data Breach Investigations Report 4. Ask whether every technician account and remote tool uses multifactor authentication (MFA), which Microsoft researchers found cut the risk of account compromise by 99.22% 6.
- Support hours and response. Who answers, during which hours, and what response time goes into the contract.
- Documentation you own. Passwords, network diagrams and device inventories should sit somewhere you can reach if the relationship ends.
- Planning. Regular reviews and a budget roadmap, sometimes sold as virtual CIO service.
- Contract and exit terms. Term length, renewal, price changes and written help to leave.
- Price. Compare like for like on the same scope.
Our guide to choosing an MSP lists the exact questions to ask for each criterion and the red flags to walk away from.

Get a quote for my businessHow to score providers side by side
Score each provider from 1 to 5 on each criterion right after the meeting, while the answers are fresh. As general guidance, give fit, the provider's own security and contract terms double weight, because they are the hardest to fix after you sign.
A simple process for a business under 100 people:
- Write a one-page brief: headcount, locations, key software, compliance needs and what is not working today.
- Send the same brief and questions to three providers.
- Ask for quotes in the same format: monthly fee, onboarding fee, what is excluded and hourly rates for extra work.
- Meet the people who would support you, not only the salesperson.
- Call two references at firms your size for each finalist.
- Score, then compare price only between the providers that scored well.
If two providers score close, the one with the clearer exit terms is usually the safer choice.
What pushes a provider's price up or down
Managed IT prices move with what you ask the provider to cover. The main drivers:
- Number of users and devices. Most providers price per user or per device, so headcount sets the base.
- Plan level. One provider's published 2026 tiers run $100 to $125 per user for basic plans, $150 to $200 for standard and $200 to $300 for premium 2.
- Security tools. Managed detection and response (MDR), which watches devices for attacks around the clock, is often added at $8 to $25 per endpoint per month in one published guide 3. See our MDR guide.
- Compliance work. HIPAA, CMMC or PCI duties add documentation, reviews and evidence collection.
- On-site visits and after-hours coverage. Remote-only plans cost less than plans with a technician on call.
- Projects. Server replacements, office moves and migrations are usually quoted separately.
Prices also change over time. In a 2023 Syncro survey, 63% of MSPs had raised prices in the prior 12 months 5, so ask how price increases are capped in the contract.
Proof to ask for before you trust a claim
There is no single license that proves an IT provider is good, so ask for proof instead of taking claims on trust:
- References at two firms your size, ideally in your industry, that you can call.
- A sample document set, with client details removed, so you can see how they record passwords, devices and changes.
- Their own security controls, in writing: MFA on remote tools, separate logins per technician, and logs of who accessed your systems.
- A signed business associate agreement if you handle patient data. HIPAA's security rules apply to business associates as well as covered entities 7, and a provider that calls itself "HIPAA certified" is making a claim the rule does not support. Our HIPAA compliance services guide explains what to expect.
- A security audit report such as SOC 2, if the provider says it has one. Our SOC 2 audit cost guide explains what that report covers.
Online reviews help you spot patterns, such as slow response or billing disputes, but read them alongside references rather than instead of them.
How a request through Clear IT Pricing works
If you would rather not run the search yourself, you can send a short request and one provider, or our advisory partner for larger projects, replies by email within one business day. The request is free for your business; the provider pays us a referral fee. We do not rate providers, and you are under no obligation to hire the one that replies. Use the scorecard on this page on them like any other provider.
More on the process is on how it works, and the published prices behind every range on this site are in our managed IT price index.
Common questions
What is the best managed IT service provider?
There is no single best provider for every business. The best one for you fits your size, industry and software, protects its own access to your systems, gives you a written scope and fair exit terms, and prices inside the published range of about $100 to $250 per user per month 1.
Who are the best MSPs?
We do not rank or name providers, because the right choice depends on your needs. Score any provider you are considering on the eight criteria on this page and compare at least three.
How much do the best managed IT services cost?
Is a cheaper MSP worse?
Not necessarily. A lower price can mean a smaller scope, such as no on-site visits or no security monitoring. Compare quotes on the same written scope before deciding.
What should a good MSP be able to show me?
References at firms your size, a sample document set, written details of its own security controls and, if it claims one, a security audit report such as SOC 2. Healthcare clients should also get a signed business associate agreement 7.
How do I check reviews of an IT company?
Read reviews for patterns, such as slow responses or billing disputes, then call two references at firms like yours. References tell you more about day-to-day service than star ratings.
