The in-house figure is the median salary for network and computer systems administrators (BLS OEWS May 2025 via O*NET OnLine, Houston-Pasadena-The Woodlands, TX: $101,430) divided by 0.70, because benefits are 30% of total compensation (BLS Employer Costs for Employee Compensation, June 2026). This is our calculation. Licenses, hardware and projects are extra either way, and one person cannot cover every hour.

- A HIPAA risk analysis is the written assessment, required of every covered entity and business associate under the Security Rule, of where electronic patient data lives, what could expose it, and how likely and harmful each threat would be.
Managed IT services in The Woodlands: cost and coverage
At the published per-person rate 12, a 25-person office in The Woodlands lands at $30,000 to $75,000 for twelve months of managed IT. Medical and dental practices should confirm whether endpoint detection, encrypted email and compliance reporting sit inside that price or are billed on top; the table above shows typical add-on costs.
Hiring costs come from the Houston-Pasadena-The Woodlands metro series, which BLS publishes for the whole region rather than for The Woodlands alone. Help desk technicians across that region had a $59,250 median in May 2025; systems administrators had $101,430 98. Benefits add roughly 43 cents per salary dollar, since BLS puts them at 30% of total compensation 10, so the administrator comes to roughly $144,900 a year on our math. Few practices under 50 people can justify that, and one hire still leaves nobody for nights, vacations or a ransomware weekend. Tier-by-tier scope is set out in managed IT price ranges explained.
The Woodlands economy: hospitals and schools ahead of energy
Health care now leads employment among the area's major employers. The Woodlands Area Economic Development Partnership's 2025 report counted 84 major nonretail employers with 100 or more local workers 3. Health care's share of their workforce rose from 28% to 32.6% and education's from 18.1% to 19%, while energy's fell from 11.2% to 9% 3. The five largest were Conroe ISD, Memorial Hermann The Woodlands Medical Center, Houston Methodist The Woodlands Hospital, St. Luke's Health and Lone Star College 3. The prior year's report found more than 40,000 jobs at 85 major employers, 12,527 in health care and 7,529 in education, with Occidental Petroleum (1,052 employees) and Repsol USA (593) in the top 15 11.
Montgomery County, home to The Woodlands, had 15,014 business establishments in 2023, 3,330 of them sized 10 to 49 workers and 663 sized 50 to 249 12. Another 316 county businesses sat in the Census code for computer systems design, 248 of them under five employees 13.
That mix points to a local market of specialty clinics, imaging and therapy offices, billing companies and medical staffing firms clustered around the hospital campuses, plus vendors to the school district and college. Schools bring their own student data duties; see IT for schools.

Get my The Woodlands quoteHIPAA support for Woodlands practices and their vendors
Every covered practice and business associate in The Woodlands needs a current, written HIPAA risk analysis; HHS's civil rights office calls an accurate and thorough risk analysis required by law 23. Any IT firm able to reach patient records, whether through email, backups or the practice management system, generally counts as a business associate, and its BAA belongs in the file before work starts.
Under the federal breach rule, patients must be told within 60 calendar days of discovery at the latest, and sooner where possible 14. An IT vendor that finds a breach as a business associate must alert the practice without unreasonable delay and no later than 60 calendar days after its own discovery 14.
HHS proposed a major Security Rule update in January 2025. Nothing in it is binding yet; HHS says today's Security Rule stays in force until a final rule is issued 15. The draft would require MFA, encryption of patient data, an asset inventory with a network map, and written procedures to restore certain systems and data within 72 hours 16. Practices that adopt those controls now lose nothing if the final text shifts. See HIPAA support from an IT provider for scope and federal breach notice timelines for HIPAA for the clock.
Texas breach rules alongside HIPAA
Texas adds its own deadlines, so a Woodlands clinic can face two clocks at once. State law allows 60 days from the point a business determines it was breached to reach the people affected 17. If the count includes at least 250 Texans, the Attorney General's online form is due within 30 days 1718. Identifying health information is sensitive personal information under the statute even with no other data attached 17.
Take a physical therapy group whose scheduling system exposes records on 400 local patients. HIPAA requires notice without unreasonable delay and within 60 days of discovery at most 14. Texas sets 60 days from determination for the same people and adds the Attorney General's 30-day report, since at least 250 Texans are involved 1718. Working to the earliest deadline avoids missing any of them.
TDPSA, Texas's privacy act in force from July 1, 2024, leaves out practices that are small by SBA measures, though they still need consent to sell sensitive data 19. From September 1, 2025, SB 2610 spares employers of fewer than 250 from exemplary damages when a qualifying security program was in place at the time of the breach 20. Texans reported $1.83 billion in losses across 97,912 IC3 complaints in 2025 21. Our Texas notice statute summary covers the state rule, and a health care attorney can confirm which rules apply.
Woodlands cybersecurity services for practices, in order
Most Woodlands practices should buy security as a short, ordered list rather than a bundle they cannot explain. The table near the top of this page prices the main pieces; the order matters more than the brand:
- MFA on email, the electronic health record and any remote access
- Encrypted laptops and phones, so a lost device is far less likely to become a notice event
- Endpoint protection that someone monitors, on each PC and server
- A backup copy kept off the practice network, with test restores booked like appointments
- Phishing practice for front desk and billing staff through the year
Underwriters ask about most of these before quoting, and small business cyber coverage carries a median premium of $129 a month among Insureon customers 7. Small business security controls, explained covers each.
What Woodlands practices should ask an IT provider
Woodlands practices should favor a provider that already supports medical clients and can produce HIPAA paperwork on request. Questions worth asking:
- Will you sign our BAA, and have you completed a risk analysis for a practice our size?
- Can you restore our practice management system within 72 hours, and when did you last test that?
- Who comes on site when a front desk printer, phone or exam room PC fails?
- Will your incident plan track both the HIPAA and Texas notice deadlines?
Practices whose office manager handles basic IT can keep that arrangement and add co-managed coverage; Meriplex prices that add-on at $45 to $175 per user a month in its 2026 figures 22. Questions to put to an MSP walks through contract terms. Medical groups with other sites can compare Houston for the wider metro, Sugar Land for Fort Bend's hospital campuses and Austin, or browse managed IT by city.
