Managed IT Services in Miami

Published provider guides put managed IT and IT support at $100 to $250 per user per month 1, or roughly $30,000 to $75,000 a year for a 25-person Miami office. Florida law gives a business 30 days to notify affected residents after a breach 9, so the provider you pick should be able to help you investigate and document an incident fast.

Plan prices are one provider's published 2026 tiers (Strategic Micro Systems, Managed IT Services Cost Per User: A 2026 Pricing Guide). The in-house figure is the median salary for network and computer systems administrators (BLS OEWS May 2025 via O*NET OnLine, Miami-Fort Lauderdale-West Palm Beach, FL: $97,180) divided by 0.70, because benefits are 30% of total compensation (BLS Employer Costs for Employee Compensation, June 2026). This is our calculation. Licenses, hardware and projects are extra either way, and one person cannot cover every hour.

Managed IT services
Managed IT services are an ongoing contract in which an outside provider runs a business's help desk, devices, network, Microsoft 365 and security for a fixed monthly fee, usually priced per user or per device.

What managed IT services and IT support cost in Miami

Most Miami businesses that outsource IT pay a flat monthly fee per user, and published provider guides put that fee at $100 to $250 per user per month for small businesses 1. Another 2026 guide frames the bands as $100 to $125 for basic plans, $150 to $200 for standard and $200 to $300 for premium plans with heavier security 16. After-hours incidents are billed on top at $150 to $350 an hour 16.

The in-house alternative costs more than most owners expect. The median wage for a network and computer systems administrator in the Miami metro was $97,180 in May 2025 2, a little under the national median of $99,130 17. Benefits made up 30% of private employer compensation costs in June 2026 4, so that one hire costs about $138,800 a year including benefits, based on BLS data. A computer user support specialist, the help desk role, had a local median of $60,500 3.

The table above shows the arithmetic. For a 25-person office, one fully loaded sysadmin costs roughly twice the top of the managed range and still leaves you with one person, one set of skills and no cover during vacations. Billing models, contract terms and what drives price up are covered in our managed IT pricing breakdown.

Miami's business base and what it asks of IT

Miami-Dade County had 98,394 business establishments in 2023, including 13,810 with 10 to 49 employees and 2,994 with 50 to 249 5. Those two size bands, about 16,800 locations, are where outsourced IT usually makes the most sense: big enough to need real systems, too small for a full IT department. The county also had 1,627 establishments in computer systems design and related services 6. That category includes MSPs but also software shops and consultancies, so treat the count as a ceiling on local IT providers, not a tally. Counts are locations, not companies.

The metro's job mix shapes the work. In August 2026 the Miami-Fort Lauderdale area had 532,400 professional and business services jobs, 479,000 in education and health services and 214,900 in financial activities, out of 2,967,100 nonfarm jobs (preliminary figures) 7. HUD notes that tourism and international trade through PortMiami and Miami International Airport contribute significantly to the economy 8. It lists the University of Miami, Jackson Memorial Hospital and American Airlines among the largest employers as of early 2023 8.

In practice that means three common profiles:

  • Trade, logistics and import/export firms that move money by wire and email with partners abroad, where payment fraud is the main risk.
  • Finance, insurance and real estate offices holding customer financial data, some of which fall under federal safeguards rules.
  • Clinics and practices in the health systems' orbit, which need HIPAA-ready setups. Our financial services IT guide covers the finance side in more depth.

Florida rules that shape IT services in Miami

Florida's breach law is the rule most Miami businesses will run into. A covered entity must notify affected Floridians no later than 30 days after determining a breach occurred, with up to 15 more days possible for written good cause 9. When 500 or more Floridians are affected, it must notify the Department of Legal Affairs within that same window 9. The same statute requires reasonable measures to protect electronic personal information 9. Thirty days goes quickly when you first have to work out what was taken, which is why logging and backups matter before anything happens.

Florida's Digital Bill of Rights took effect July 1, 2024, but it only reaches companies with $1 billion or more in global revenue that also meet one of three narrow tests 10. For practical purposes it does not apply to small and mid-sized businesses 10.

Federal rules often matter more for Miami's finance sector. The FTC Safeguards Rule covers non-bank financial institutions, including mortgage brokers and tax preparers, and requires a written risk assessment, encryption of customer information and multi-factor authentication for anyone accessing an information system 12. Firms with records on fewer than 5,000 consumers are exempt from some, but not all, of those provisions 12. Confirm your own obligations with counsel.

Cybersecurity services in Miami

Miami businesses should put their first cybersecurity dollars into stopping payment fraud, because Florida's reported losses are among the highest in the country. Florida residents and businesses filed 71,843 complaints with the FBI's Internet Crime Complaint Center in 2025 and reported $1.60 billion in losses, third in the nation on both counts 11. These are reported complaints, not unique victims, and real losses run higher.

For a trade or finance office, email is the soft spot. In Coalition's 2026 claims data, business email compromise and funds transfer fraud made up 58% of incidents 13. These controls address it:

  • Multi-factor authentication on every email account, with no exceptions for executives.
  • A call-back rule for any change to wire instructions, using a number you already have on file.
  • Email filtering, endpoint detection and response, and tested backups.

Most managed IT plans at the middle of the price range bundle some of this. Ask what is included and what is extra. Our small business cybersecurity guide lays out the core controls and typical costs. If a breach is underway, call your cyber insurer's hotline if you have a policy, report it to the FBI at ic3.gov, and do not wipe or rebuild systems before evidence is preserved.

IT consulting and co-managed IT in Miami

Not every Miami business needs a full outsourcing contract. If you already have an IT person, co-managed IT lets an outside provider supply the tools, monitoring and backup staff while your employee handles daily requests. One provider's published 2026 estimate puts co-managed IT at $45 to $175 per user per month depending on scope 14. See how the split usually works in our co-managed IT guide.

Project work is another path. A move to a new office, a Microsoft 365 migration or a network rebuild can be bought as a one-time engagement. Consultants bill that kind of work at $150 to $250 an hour in a 2026 migration cost guide 15. Our IT consulting page explains when a project engagement beats a monthly contract.

Choosing a managed service provider in Miami

Test a Miami managed service provider on the risks you face, starting with these three questions:

  • On-site coverage. Ask where the nearest technician is based and how site visits are billed. Many South Florida firms also have offices up the coast, so check coverage for our Fort Lauderdale, Orlando and Tampa markets if you have locations there.
  • Incident readiness. Ask who leads the response if you have a breach and how they would help you meet Florida's 30-day notice deadline.
  • Exit terms. Ask how you get your passwords, documentation and data back if you leave.

Work through the remaining questions in our guide to choosing an MSP, and see the managed IT services overview for what a standard contract covers.

Common questions

How much does IT support cost in Miami?

Published provider guides put managed IT support at $100 to $250 per user per month 1. A 25-person office would spend about $30,000 to $75,000 a year. Hourly break-fix work typically runs $75 to $250 an hour, with emergency rates of $300 or more 1.

Is it cheaper to hire an IT person in Miami or outsource?

For most offices under about 50 people, outsourcing costs less. A Miami systems administrator earned a median of $97,180 in May 2025 2, or about $138,800 a year with benefits based on BLS data 4. That is roughly twice the high end of managed IT for 25 users.

How long do Miami businesses have to report a data breach?

Florida requires notice to affected residents no later than 30 days after a breach is determined, with up to 15 more days for written good cause 9. If 500 or more Floridians are affected, the Department of Legal Affairs must also be told within 30 days 9. Health and financial businesses may have extra federal deadlines.

Does Florida's privacy law apply to my small business?

Almost certainly not. The Florida Digital Bill of Rights applies only to companies with $1 billion or more in global revenue that also meet one of three narrow tests 10. The state breach law and its reasonable security requirement still apply to you 9.

What cybersecurity services do Miami import and export firms need most?

Protection against email and payment fraud comes first. Business email compromise and funds transfer fraud made up 58% of incidents in Coalition's 2026 claims data 13. MFA on email, a call-back rule for wire changes and email filtering cover most of that risk.

Can a Miami IT company work alongside our in-house IT person?

Yes, that arrangement is called co-managed IT. The provider adds monitoring tools, security and backup staff while your employee keeps day-to-day work. One provider's 2026 estimate puts it at $45 to $175 per user per month 14.
