Plan prices are one provider's published 2026 tiers (Strategic Micro Systems, Managed IT Services Cost Per User: A 2026 Pricing Guide). The in-house figure is the median salary for network and computer systems administrators (BLS OEWS May 2025 via O*NET OnLine, Kansas City, MO-KS: $91,980) divided by 0.70, because benefits are 30% of total compensation (BLS Employer Costs for Employee Compensation, June 2026). This is our calculation. Licenses, hardware and projects are extra either way, and one person cannot cover every hour.

Managed IT services
Managed IT services are ongoing IT support, monitoring, patching and security that an outside provider runs for a flat monthly charge, typically set per user or per device.

What managed IT services cost in Kansas City

Most Kansas City small businesses should plan on $100 to $250 per user per month for managed IT, the range current published pricing guides give for help desk, monitoring, patching and baseline security 12. Plans with heavier security bundled in can reach $300 per user 2.

Older survey data lines up with that. In Kaseya's 2023 benchmark survey, the most common per-user band was $50 to $100 (22% of providers), followed by $101 to $150 (17%) 8. Syncro's 2023 report found an average of $151 per user and $99 per endpoint, and 63% of providers had raised prices in the prior year 9.

For a 25-person office the arithmetic is short:

  • Low end: $100 x 25 users x 12 months = $30,000 a year.
  • High end: $250 x 25 users x 12 months = $75,000 a year.
  • One in-house systems administrator: $91,980 median wage in the Kansas City MO-KS area 3, or about $131,400 with benefits. BLS puts benefits at 30% of private-sector compensation, so we divide the wage by 0.70 7.

One hire also cannot cover every skill or every hour. That gap, more than the price, is why many local firms outsource. Our managed IT pricing breakdown shows what pushes a quote up or down.

Kansas City's business base and the IT support it needs

Jackson County alone had 18,212 business establishments in 2023, including 4,436 with 10 to 49 employees and 1,016 with 50 to 249 4. That middle group is the core market for outsourced IT support: big enough to depend on email, file shares and line-of-business software all day, too small for a full IT department.

The county also had 224 establishments in computer systems design and related services, the Census category that holds managed service providers alongside software and consulting shops 10. There is local choice, but that count is not a list of MSPs.

The metro's job mix shapes what those providers are asked to do. BLS counts for August 2026 (preliminary) 11:

  • Education and health services, 185,400 jobs: clinics, dental offices and home health agencies with HIPAA duties.
  • Professional and business services, 185,100 jobs: law, accounting and engineering firms that live in document systems and client portals.
  • Government, 148,800 jobs. HUD names the federal government as the area's largest employer, with 32,000 workers including an IRS processing center and the Federal Reserve Bank of Kansas City 12.
  • Manufacturing, 91,300 jobs, where plant-floor PCs need careful patch windows.

Health care runs deep. Oracle Cerner (11,900) and The University of Kansas Health System (11,250) are among the largest employers 12, and the practices and vendors around them handle patient data. Our HIPAA compliance services guide explains what an IT provider should document for you.

Missouri data breach rules for Kansas City businesses

Missouri requires a business to notify affected Missouri consumers without unreasonable delay after a breach of personal information 13. If more than 1,000 consumers are notified at one time, the Missouri Attorney General's office and the nationwide consumer reporting agencies must be told as well 1314.

Missouri has no comprehensive consumer privacy law as of October 2026 1516. That keeps the state rulebook short, but it does not settle the question for a bistate metro. Breach statutes are written around where the affected people live, so a Missouri-side firm with customers or staff on the Kansas side should ask counsel which states' rules apply. This page covers Missouri only.

The crime numbers show why the rules get tested. Missourians filed 14,087 complaints with the FBI's Internet Crime Complaint Center in 2025, reporting $233.9 million in losses, 22nd among states on both measures 5. That is roughly $16,600 per complaint (our calculation). Nationwide, business email compromise, where a criminal poses as a vendor or executive to redirect a payment, cost victims about $3.05 billion in 2025 5.

Cybersecurity services in Kansas City: what to buy first

For most Kansas City firms, the first security dollars belong in multi-factor authentication, endpoint detection and response, and backups you have actually restored. In Microsoft's study of its own cloud accounts, MFA lowered compromise risk by 99.22% 17. Managed detection and response for small businesses typically runs $8 to $25 per endpoint per month 18.

Insurers ask for the same list. Marsh names MFA, email filtering, encrypted and tested backups, EDR, patching and incident response plans among the controls insurers now treat as minimum requirements 19. If a renewal form asks about them, your provider should hand you evidence, not just a yes.

The 2026 Verizon DBIR found exploited vulnerabilities were the leading way into breaches at 31%, and ransomware showed up in 48% of breaches 2021. A local cybersecurity company may sell these services as a separate retainer, while some MSPs bundle them. Our cybersecurity for small business guide lists the controls in priority order.

IT services for bigger teams: co-managed support and consulting

Kansas City organizations that already employ an IT person often get more from co-managed IT than a full handoff. One provider's published 2026 estimate puts co-managed IT at $45 to $175 per user per month, from basic escalation and monitoring at the low end to a security operations layer at the top 22. That is one firm's figure, not a survey, but it shows how price follows scope.

Projects are usually billed apart from the monthly plan. External IT consultants commonly charge $150 to $250 per hour 23, which covers office moves, Microsoft 365 migrations and network rebuilds. Read how co-managed IT divides the work and when IT consulting beats a contract before you request proposals.

Choosing a managed service provider in Kansas City

Pick a provider that can put a technician on site on both sides of the state line within a time you agree in writing. Remote tools fix most tickets, but network closets, printers and new-hire setups still need hands.

Ask each candidate:

  • Which tasks sit inside the flat fee, and which are billed hourly?
  • Who answers after hours, and what does that call cost?
  • How often are backups restore-tested, and can we see the last report?
  • How do we get our data, passwords and documentation back if we leave?

More questions, including contract length and exit terms, are in our guide to choosing an MSP. If you run offices elsewhere in the region, compare managed IT in St. Louis, Omaha and Minneapolis, or start from our managed IT services overview.

Common questions

How much does IT support cost in Kansas City?

Expect $100 to $250 per user per month for managed IT support, based on published pricing guides 12. A 25-person Kansas City office would land between $30,000 and $75,000 a year. Hourly break-fix help typically runs $75 to $250 an hour, with emergency rates of $300 or more 1.

Is managed IT cheaper than hiring an IT person in Kansas City?

For a 25-person firm, yes. The median Kansas City area systems administrator earns $91,980 3, about $131,400 with benefits by our calculation from BLS data 7, which is more than the high end of managed IT for 25 users.

Does Missouri have a consumer data privacy law?

No. As of October 2026 Missouri has not enacted a comprehensive consumer privacy law 15. Its breach notification statute still applies to any business holding Missouri residents' personal information 13.

How quickly must a Kansas City business report a data breach?

Missouri's standard is without unreasonable delay rather than a fixed number of days 13. Notices to more than 1,000 people at once also go to the Attorney General and the consumer reporting agencies 13. Firms with Kansas customers should check Kansas rules too.

What should a cybersecurity company in Kansas City handle?

At minimum: MFA everywhere, endpoint detection and response, email filtering, patching and tested backups, the controls insurers now expect 19. Ask whether monitoring runs around the clock and who responds when an alert fires at night.

How many IT services firms are in Kansas City?

Jackson County had 224 establishments in computer systems design and related services in 2023 10. That Census category includes managed service providers but also software developers and consultants, so it is a rough indicator of local choice, not a count of MSPs.
