The in-house figure is the median salary for network and computer systems administrators (BLS OEWS May 2025 via O*NET OnLine, San Jose-Sunnyvale-Santa Clara, CA: $133,360) divided by 0.70, because benefits are 30% of total compensation (BLS Employer Costs for Employee Compensation, June 2026). This is our calculation. Licenses, hardware and projects are extra either way, and one person cannot cover every hour.

- Managed IT services
- Managed IT services are IT support delivered by an outside company under a monthly contract that covers help desk, device and network management, backups and baseline security for a predictable per-user or per-device fee.
Managed IT services in San Jose: what businesses pay
Managed IT services in San Jose are quoted at $100 to $250 per user per month in published pricing guides 1, with plans that fold in full security operations reaching $300 or more 2. Per-device pricing is also common, at $50 to $100 a month for each workstation and $100 to $400 for each server in one 2026 guide 19.
The comparison that matters in San Jose is against payroll. The metro's median wage for network and computer systems administrators was $133,360 in May 2025 3, the highest of any market we cover and about 35% above the US median of $99,130 4. Add benefits, which BLS puts at 30% of employer compensation costs 5, and one administrator costs about $190,500 a year. Spread across 25 employees, that is roughly $635 per user per month, more than double the high end of a managed plan.
Our managed IT pricing guide explains what pushes a quote toward the top or bottom of that range.
IT services for Santa Clara County's businesses
Santa Clara County had 49,154 employer establishments in 2023, with 10,569 employing 10 to 49 people and 2,535 employing 50 to 249 6. That is a large base of offices big enough to need structured IT support but rarely big enough to staff a full department.
The local hiring market works against small employers. Alphabet, Tesla, Apple, Meta and Cisco are among the metro's largest employers, and five of the ten biggest are tech companies headquartered in the area 9. A 40-person firm competing with them for one systems administrator starts at a disadvantage on pay.
The county had 2,783 establishments in computer systems design and related services 7, a count that takes in software developers and consultancies as well as support providers.
San Jose also has a manufacturing base that most tech-city pages ignore: 131,400 manufacturing jobs in August 2026, alongside 279,600 in professional and business services and 227,800 in education and health services 8. Manufacturers bring their own IT needs: production systems that cannot be patched on a whim, segmented networks and, for some suppliers, defense contract rules. Our manufacturing IT guide covers those.

Get my San Jose quoteCalifornia data rules San Jose companies face
California's breach law now sets a hard deadline. Since January 1, 2026, affected residents are owed notice within 30 calendar days of the date a business discovers, or is told about, a breach 12. When more than 500 residents get a notice, the business files a sample copy with the Attorney General within 15 calendar days after the consumer notices 1314.
In practice that pushes IT preparation forward. You need logs kept long enough to show what was accessed, a list of which systems hold personal data, and a plan for who decides whether an event is a reportable breach. Building that after an incident starts rarely fits inside 30 days.
The California Consumer Privacy Act sits on top of the breach law. It reaches a for-profit business if yearly gross revenue tops $26,625,000, if it buys, sells or shares personal information on 100,000 or more consumers or households, or if half or more of its revenue comes from selling or sharing that information 1011. A San Jose hardware or services company can cross the revenue line with a fairly small headcount. Ask counsel whether you are covered.
California also led the country in FBI internet crime reports in 2025, with 116,414 complaints and roughly $3.67 billion in reported losses 15.
Cybersecurity services and cybersecurity companies in San Jose
Cybersecurity services for a typical San Jose office start with managed detection and response, priced at $8 to $25 per endpoint per month for mainstream offerings 16. Many managed IT contracts include it; others sell it as an add-on, so read the scope line by line.
Firms that hold design files, source code or customer data for larger tech clients often get security questionnaires from those clients. A part-time security lead (vCISO) can answer them; published retainers for companies below 50 staff run about $1,500 to $4,000 a month 17.
The basics still matter most: in a Microsoft study, MFA cut account compromise risk by 99.22% 20. Start there, then add endpoint monitoring and tested backups. Our cybersecurity for small business guide sets out the order, and our managed detection and response page explains what MDR does and does not cover.
Co-managed IT and IT consulting for San Jose firms
Co-managed IT fits San Jose companies that already employ an engineer or IT generalist but cannot afford a second or third. The provider supplies monitoring tools, after-hours coverage and escalation, and your employee stays the person who knows the business. One provider's published estimate runs $45 to $175 per user per month by scope 18.
For one-off projects such as a Microsoft 365 tenant cleanup, a new office network or a security review, IT consultants usually bill hourly. A 2026 guide puts external consultants at $150 to $250 per hour 21. Agree on deliverables in writing first. See our co-managed IT guide for how to divide the work.
Picking an IT support provider in San Jose
Judge San Jose IT support providers on coverage and accountability, not brochures. Questions worth asking:
- Where are your technicians based, and what does an on-site visit cost under the contract?
- Can you help us meet California's 30-day breach notice window, and what logs do you keep?
- Do you support manufacturing or lab networks, if we have them?
- If we switch providers, who hands over our admin credentials and network diagrams, and how fast?
